Welcome to my YourVirtuoso Blog

After a year of helping Casey at Kindermusik International answer some pretty interesting and challenging questions about the use of YourVirtuoso, I decided many of the answers deserved to be shared with our user community (you). 
Some of the answers are already in the "How To" documents, or help pages, but I am as guilty as the next person of not reading all the documents, so if this helps you get the answers you need I think it is worthwhile.
This blog is not intended to replace your existing support resources, so it won't cover everything, and comments may not get (timely) responses, but if you have requests for specific topics, I will be delighted to try and get to them if they seem of general interest.

THIS IS AWESOME!!! I love having this resource! THANK YOU!! OK, my first question is---I put someone on YV that called me about classes. She came to class Tuesday and said she tried to pay on my website, but it wouldn't let her. How do I make it available to a family when I've already gone in there and set up their information? I've heard this happening to other teachers, and it happened to me too. Thanks! Heidi Day, TX

I think what you need to do is create an account and password for the family. Then tell the person who wants to register what the password is. This is how I solved the problem.

I have three...!

1: Is there a way for me to receive a message (either on YV home page or e-mail) when a customer makes a payment online?

2: If a family was previously enrolled at another studio, I am unable to create an account for them in my studio. Do you have any suggestions?

3: A family left a comment on the payment screen once, but I didn't receive notification. Is there a way for me to receive those, similar to comments left on the registration screen?

Thank you so much for this resource!

I would like to know how to set up my ABC Music & Me classes in YV. I would like to let parents register and pay online, either for 1 month or for multiple months. However, it appears that I can only set tuition on a per class or a per session (i.e., Fall 2007 or Spring 2008) basis, when I want to set it up on a per month basis.

Also, I want to automatically offer a discount to families who register and pay for multiple months, as opposed to one month at a time.

What do you suggest?

I'm wondering why we always receive a "Registration Note" when people enroll, even if the note is empty. Would it be possible to only receive a message when the client says something?

2. I want a hyper link button to make it easy to make links on the green box on the YV first page. :-)
3. I've been putting a "stat counter" in that green box. But I get a "text corrupted. Insert new text" message. What's happening? I love the stat counter so I'd really like to figure this out.

I wonder how to access the template for the account balance reminder email that the system sends out. I'd really like to SPELL MY NAME CORRECTLY. I'm sure I didn't make that typo! So I know I did not set that up. I want access. Thanks!

I am hoping that YV can be updated with the new MAKE WAY FOR MUSIC - family time unit immediately.

Also is there any reason that ALL available ABC units are not there to choose on the site? We are to offer SING A STORY in December and it is not available to post.

Is there anyway NOT to wait to until the end of the month to make these updates - it is imperative that parents find this information when they log onto our site. Our winter/spring registration period has already begun, so we are getting lots of traffic - everything really needs to be accurate and ready for them.

I'll be teaching my classes at nearby cities' recreation centers and because I have a signed contract with them, students can only sign up classes at those recreations.
I'd like my YV to show my classes and locations, but is there a way to list them but not allow them to register and pay online?

I wondered if there was a way to use my own pictures of our Kindermusik classes on the website? I have gotten permission from every parent in the class to use their pics for publicity, but can't find a way to use them on the website. Am I missing something?

I'm a new teacher, and I want to make the best use of every tuition $. Is there an option for allowing online registration, but not taking online payments? I'd rather receive checks and avoid the merchant fee.

There is no official way to put your pictures on YV (Except in locations and curricula), but there is a blog here you can read about using the content/inline-editor to do it if you are adventurous!
We hope to add something official soon.

Heather, you could choose a class registration method with "message" and ask people to pay by check, but you cannot actually turn credit cards off.
As you think about the fees, you should consider the possibility that someone may decide not to enroll if they cannot pay by card, or more likely, enroll, but because they have paid nothing, decide not to come to class after all. These are not frequent situations, but one extra enrollment pays for a bunch of fees!

I have had my website for awhile but am just now getting around to setting it up and sending parents there so they can make payments via credit card. In sitting things up I do not see where to put in a bank account so that credit card payments would get to me. So, when someone make a payment via my site how do I get there money? or, where do I set that up? Thanks!

Emily,
There are two sets of names and Addresses in YV. Your personal one is under the "staff" area and does not have to be shared (there are check-boxes). The studio address is under locations, and you will need to publicize that or nobody will know where to come for class!

Gerry, I am trying to change a few of the summer camps class duration, for example, I teach On The Road for 1 hour and Creatures in my Backyard for 1 hour since I do crafts, etc. I saw where I can change that, but they do NOT show up on the public website this way. Is this right? It always defaults on the public site back to 45 min. I am frustrated, help! Thanks!

Also, I am not finding Family Time as a curricula heading. I am offering this in the summer and I do not see it anywhere.

Heidi, The duration of a class is set for the curriculum, so you need to change that under setup. Summer is odd, because while Adventures is supposed to be one curriculum, all the units are very diverse, not like the units of Our Time etc. You may need to create special versions of the Adverntures curriculum, or edit the text for it at least to reflect how you offer it.

Family Time is there. If it is not in your curriculum list, add a new curriculum and select FT from the options there.

When can we expect version 2 that we have all been waiting for since January? Also, when I send out a group e-mail to all enrolled families, there are several families that want the emergency contact to also receive the e-mails and this is not happening. I have checked the box for them to receive e-mails.

Nancy and all our readers...
YourVirtuoso 2.0 was indeed planned for January, and we are disappointed not to have met that target. There have been some important discussions around the evolution of YV, not to mention premature twins for one of our key designers, so unfortunately "the best laid plans of man gang aft aglae".
We are getting very close to a release now (within 2 weeks) so please bear with us, and soon you will be refunding credit card payments and cloning sessions etc. etc....

On your question about emergency contacts Nancy, please put in an issue if you have not done so already. It sounds like something we need to test.

I want to participate in the Loyalty Survey and needed to add a couple email addresses to 2 families who didn't have them on YV. It simply WILL NOT, no matter what I do, accept them. It keeps highlighting them in red and WILL NOT let me pass this page. I put in a password for them and it still won't let me pass. THere is no explanation. Please help!!!

Gerry, has the problem with sending emails been fixed? All of mine failed last Friday and customer service at KI said the problem would be fixed as soon as possible. I've tried to re-send them a few times but they keep failing. I'm hoping today's the day! Thank you very much

Hi Gerry,

I am so excited about this blog. I want to stick with YV. I just love my website. I have 3 small problems.

1. Since the YV2 update, something weird appeared on my staff page. 2 state drop down menus right in the middle of my text. Could you check it out?

2. I have had a parent register online and paid more than the deposit so she clicked custom and put in her amount. So this was supposed to take care of her deposit plus take a little off that would be due at her first class. But then later she gets a email saying she owes her deposit. Her account shows a balance and my YV does too.

3. I notice when you click on a tap that the whole tap shakes to where you can't read the text in the tab. Is that just my computer or is that everyone?

Ok, Gerry...I need help with a dumb mistake! I put 8000.00 in as the amount on a check from a parent when I really meant to put 80.00. Wow, that would be a nice deposit, wouldn't it? Even though I made an adjustment in her account it still shows up on all of my reporting as 8000.00. Can I go back in somehow and change the original amount? I assumed the 'make an adjustment' feature would fix it, but I guess I assumed wrong. Thank you for your help!

I have a request for the early registration discount feature. Right now, this discount is based on a certain number of days before a CLASS begins (not before the SEMESTER begins). This can get confusing, since classes within a semester may begin over a range of dates. I like to be able to have one date per semester as the early registration deadline. Could we make it an option (or the standard) to have one early registration deadline per semester? That way we could easily tell our clients what that date is, to encourage them to enroll by then.

I would like to have the ability to create discounts that are class-specific. (At least I don't see a way to do it right now. . . .) I currently cannot have a blanket discount for siblings because it isn't the same for every class. (A second child in Our Time would pay $160 but a second child in Village would pay only $150.) It would be helpful to have a checkbox list or something similar that we could use to indicate which curriculums that particular discount should apply to.

I'm looking forward to voting on these topics! :-)

You can change fonts etc in most places using the editor in YV, but there are a few places where the layout of your webpage is restricted by the style sheets used in the design to make sure they look professional. If there is a specific place you think you need to make these style changes, create an issue under support and we can see if the restrictions should be relaxed.

You can have different discounts by creating several different discount policies. These can then be tied to specific curricula as defaults under curriculum setup. You can also change the discount policy for an individual class when you create it or edit it after it is in place.

Hi Gerry,
What am I doing wrong? I've tried to find the answer but can't seem to find it. I'm sending a weekly email to my families and I want to add an attachment. I go to "upload a file" I click "browse", I find my file, open it and it shows up in the space provided. It "looks" like it's attached but when I send the email, it's not. Can you tell me what I'm doing wrong?

Laraine,
You can't actually attach a file to an email in YV. The file upload you were trying to use is for loading new content (text or html) as the body of your mailing.
The way to have an "attachment" in html emails like these is to link to it from the mailing using the link tool. This means you will need to have the file you are linking to available on a website somewhere. It could be in google docs for example.

Thanks for the information Gerry. But I don't deny, I'm disappointed. It's just a "form" in excel that I need to send to all my families. Do you think attaching a file will ever be possible in the future? Now I'll just have to print off a couple hundred and leave them in the classrooms.

If this is a big issue, you could try pushing the envelope a bit with this workaround...
Set up a dummy class with the document you want as a registration document. Before leaving the page where you set the registration option, right click (Mac ctrl click) on the link to it that appears below the text box and "Copy link" or "Copy Shortcut".
When you create you mailing, insert a link using the link tool, and paste the address you copied into it.
This should give your families a mailing with a link that opens up the document...

Test it first!

Sorry I haven't responded. The flu haunted me for 3 days and then I was just catching up. I already printed of the forms but I will try your suggestion and see what happens.
One more questions though.
My admn. asst. resigned at the end of January. I just realized that I need to change my password so she doesn't have access to YV any more. How do I go about doing this? I tried pretending I didn't know what it was hoping it would let me change it but it just said to ask "you". lol

Thank you Gerry. That was easy. Sorry I didn't see it. Now I have another question. Recently I gave a $22 credit on the credit card "Sidebottom". Under details, it does say "Card Refund" but it is showing up as a charge and says they have a balance of $22 instead of a credit for $22. What am I missing?

Laraine, I know it doesn't sound right, but when you give a refund, the customer does owe you more!
Typically they owe you a negative amount (you owe them) and the refund increases their AR from negative to zero.
The step you have probably missed is to actually reduce what you charged them to create the credit on their account before refunding it. You would do this by removing a student from class, or modifying the charge for tuition etc.

Ok, I get it now and I fixed it. (you know I really should be in the classroom!).OK, here's another question. I have a Board Meeting coming up this Saturday and I'm making a report of statistics. I have found almost every statistic I need through YV. It's been great. But...Is there anywhere that will tell me how many Sibling Discounts I gave in a given semester or year? Or how many tuitions were pro-rated? I've looked and just can't find them.

Laraine, I'm afraid we don't have a report with the number of discounts applied. I think the nearest would be to try to line up the number of enrollments, the list price, and the actual tuition revenue from the financial reports, but it would not be easy to do a solid comparison. It might give you a feel for the $ amount of discounts.
