Subscription Model (updated 8/28/12)
The subscription model for enrolling and charging customers has the following characteristics that differentiate it from classic semester based enrollment and billing:
- Classes run for a full School year (typically Sept. to May)
- Payment is primarily on a monthly basis (a deposit is also possible)
- Enrollment can happen at any time (but is concentrated in the months leading up to Fall start of classes)
Your Pricing Decisions
YourVirtuoso can be set up to handle subscription model through a payment plan which defines monthly payments. Here are the business decisions you need to make before actually getting into YourVirtuoso to set it up:
- Pick your session dates and prices based on your costs and business needs. For example:
- If your tuition for 32 weeks needs to be about $480, and materials about $100, your total price for the year will be $580
- Using this as a guide, decide how you want customers to pay.
- If you start in September and finish in May, YourVirtuoso will schedule 9 payments.
- If you want to charge a deposit deduct this from the total for the year, and then divide the total by 9. If no deposit just divide by 9 - In our example $64.44
- Set your price by picking the monthly price that works for you. Lets say $65, which means the actual total cost of the class will need to be 9*65 = $585
YourVirtuoso Setup
Here are the steps you need to follow:
- Create a new pricing plan: (If using the new KM curricula a subscription plan is already set up - Skip this step)
- Go to Setup/Pricing Plans and Add a Plan. Call it What you want, maybe “Subscription Pricing”
- In our example there is no registration fee or deposit, so just click on “Set Payment Schedule”
- Select “Payments divided up equally over Session”. This lets you have payments always at the start of the month by picking “Per MONTH” and “Payments due at START”. Note that YourVirtuoso will decide later how many payments there are, but as long as your class starts in September and continues through May there will be 9
- Save the Pricing Plan
- Apply the plan to the curricula you want to use it with: (If using the new KM curricula - Skip this step)
- Go to Setup/Curricula and edit each of the curricula involved.
- In each curriculum, edit the curriculum details and pick your new pricing plan
- Note that the plan can be applied to any curriculum that is following the 9 month, monthly payment model, even if the amounts are different for example for Young Child.
- Check the materials for the curriculum and make sure they are priced at $0 (All fees will be collected as simple monthly "tuition" charge)
- If you had already set up classes for the session, they will have picked up your old pricing plan, so you would need to select each of these classes and change the selection using the “Plan Details” link.
- If you have not done so already, set up your new session with a start date in September and end date in May
- Create your classes as usual, with the following differences:
- Select ALL the units you will teach for the year (Cmd or Ctrl click to pick the extra units). For the new curricula, there is just one unit, as units/themes and materials are managed on the my.kindermusdik website)
- Set the start date in Sept and the end date in May
- Set Tuition cost using the new option of "per month". Select per month and enter $65 in our example
- Activate your session and classes and try enrolling a student from the class enrollment page to check that the price and payment schedule match what you decided - then cancel.
- Finally, make sure you are set up for automatic payments. Under Setup/MyInfo you will see “Preferences” where you can turn on auto payments and “Notifications” where you can choose to send reminder emails and copy yourself if you wish.
Transfers
When a student transfers before classes start, It is exactly the same as it is with semester based pricing. Normally there is nothing more to do than select the student on the class enrollment page and click transfer. The exception is when they are changing curriculum or if there were discounts applied to the original enrollment.
For this reason, YourVirtuoso will show you, just before you commit the transfer, the charges that are being removed, the new ones that are being added, and the payments that are being scheduled. Take note here of any differences so you can make the necessary AR adjustments.
Mid Year Enrollees (Prorating)
YourVirtuoso will prorate automatically based on the current month. It does not have the information needed to decide if the current month has 1, 2, 3, 4, or 5 classes left, and if the first payment needs to be different. Whenever you enroll someone, or are notified that they have enrolled online, after the class start date, you will want to check their account (AR) and see if the tuition matches your studio's prorate policy. Generally you just modify the tuition to the prorated amount, and choose to take that off the first available payment.
Variations
Deposits: If you are really concerned about buying materials for students who have not actually paid for them yet, as is the case before the classes start, you can easily add a deposit to your plan. In the example we had above, lets say you wanted a $50 deposit. You would take the $50 off your target total price of $580, leaving $530 and divide that by 9 to get the monthly payment of $58.88. To make round numbers you could choose $60 per month plus $50 deposit. You would use that $60 when setting up the class tuition, set the materials package price to $50, and modify your pricing plan to have a deposit of "materials fees". NOTE: This can make prorating a bit more complex, so think it through before you make it more difficult to manage.
Materials: If you need to track materials for sales tax purposes. I suggest you stay with the simple model above (including setting materials price as $0), and then just use the "Materials Required" report to identify what materials were sold during that month/quarter and calculate sales tax from that using whatever materials price you and your accountant think is reasonable (and legal) in your area.

Melinda, assuming you don't break out materials it could work like this. If you have 9 payments of $60 normally ($540 for the year) and you want to make sibling cost $50 to cover cheaper materials and a tuition discount, your total sibling cost would be $450, and you can set up a sibling discount of $90.
YV will take your $60/m multiply it by 9 to get the full tuition cost of $540 for regular enrollments, and then take off the $90 for siblings. The scheduled payments will then come out correctly at $60 and $50.

Cathy, YV will split the cost over 10 months in that case, and if you start late in August the first two payments will be close together (First class and then first of Sept.) Apart from that it just means dividing by 10 instead of 9.
For the deposit, I would suggest you include a materials fee of $X and set the deposit to be "Materials only". That way YV will not include the materials/deposit when it calculates payments and they should match the tuition of $Y/month
I would like to charge a deposit, but only once for the year. So, if a student enrolled for Sept. - Nov., then was away Dec. - Jan., and returned in Feb., the student would then be charged the Feb. monthly payment but not the deposit again. Is that possible to set up, or will it need to be done manually?

Wendy, I think this will work if I understand your situation.
Add a Registration fee, and set the deposit to be "registration fee only". You will need to set the registration fee to be once per year. This does not actually tie it to the school year session, but means that a registration fee will not be charged if the family paid one in the last 12 months, which should work out the same in most cases.

Gerry, after having read your blog, I am very encouraged the YV will be able to handle the subscription enrollment. I have been very pleased with your service so far, and hope that I can continue to use it! A few questions came to mind as I begin to implement the new system:
1. Will it be easy to customize monthly amounts? For instance, I have some kids on scholarships, and a few with a complete trade agreement (no cost).
2. So, my current students can register now and their automatic payments will begin in September?
3. Here's my plan: Charge a $20 registration fee at time of enrollment and then do 9 monthly payments from Sept. - May. Simple, right?
4. And, on another note, I have changed my studio name. How can I change my URL?

1) You will be able to change the monthly payments in 1 or 2 steps. First, you will modify the tuition fee to the total for the year that you need (probably 9 times the monthly number you want for that student). As you do that, YV will ask how to adjust scheduled payments, and you can divide it across all scheduled payments. Full scholarships are easier. Just adjust the tuition to 0.
2) Yes. That would be the typical pricing plan unless you include a registration fee or deposit.
3) Yes. This is exactly the same as in the blog, except include a $20 reg fee in your pricing plan that will be collected at time of registration.
4) Just email us at support@simplysignup.com with the new URL you want, and if it is available we will change it. (Think about timing and any links from other websites, business cards etc. first. This is a fairly major change in your marketing) Tell us when to make the change active.

A lot of my questions were answered with the above Q & As, but I wanted to expand and express one concern. Due to our school schedule we are starting the following week after labor day and finishing the second week off June. This breaks it down into 10 month payments automatically. I realize we can set our payments to reflect that, but my concern is that even if the the price is the same the appearance is that we are charging for ten months but only teaching nine. We are in Maine so we really wanted to extend in to June as snow days are inevitable and builds in some snow day make-up time. Do you have any suggestions? I have other questions, but I will expand later.

As you say, you do have the option of changing the per month price to fit, but I understand your concern.
There is one option you might consider: The number of payments is determined by the start/end date of the classes, so you could initially set up the session as ending on May 31st which will make it easy to create all the classes with May 31st end dates. After the classes are created, you can change the session end date back to the actual date in June. This will give you the 9 payments you want. The catch, of course is that if a parent drills down and clicks on the class day/time on the website they will see an incorrect end date, but that should not be a big issue at enrollment time, and by the time next May rolls around, they will be relying on you in class to remind them of end dates anyway.
Gerry, I would love to be able to make any A/R changes first and then send the automatically generated enrollment confirmation so that it reflects the correct amount. Is there any way to do that?

The curricullum planner shows Zoom, Dream, Hickory, Rhythm for the next school year. I am unable to select those units because they are not listed in the correct order-other units are in between some of these.
The spring/summer/winter/fall icons and descriptions don't fit with subscription enrollment. Will you be adding other options?
I think I have got the subscription enrollment ready to go for the next school year. However, there is one big issue. In studying Theresa Case's tutorial-the goal is simple and easy. In order to be simple and easy for the teacher as well as families, she recommends everyone be on the auto-payment plan. So, everyone is charged on the same day of each month and the teacher doesn't have to worry about tracking down families who are doing something different. I just enrolled a hypothetical student and when it came to the payment page, there were still options of paying some today, paying in full today or making the first payment. And, the biggest issue of all is the option to check the box to have future payments automatically charged to the credit card. I need to have everyone checking the box and paying nothing at registration. Is this a possibility? I really want to stay with YV as well but need to resolve this issure before activating my school year session.

Yes, the idea is simplicity, and autopay is the way to go. Now, the only reason Theresa has all the payments on the same day is that in her system she actually goes in and selects all the accounts and processes the payments manually. In YourVirtuoso you actually don't have to worry about that, so while most of the payments will be scheduled on the first weekday of the month, it doesn't matter to you, as YV does it for you.
Now, if a family opts to pay more than the deposit you have set up, that's no problem either, as YV just takes any extra off the next scheduled payment(s) and still automatically processes the rest for you. You don't need to track any of that down.
As to storing the credit card info, we default the payment page to have that check-box selected, but it is important to give the customer the final say. There are guidelines in the credit card processing industry; families who cannot use cards; and situations where you might well lose the customer if you did not provide that choice.
What you can do in YV is to use the class registration method of "Registration with message". This allows you to enter some special instructions. just before the family gets to the payment page, they get a new page with your instructions on it where you can explain your payment policies, and explain why they should use a credit card and ensure they have the checkbox selected.

The General Policies are changed under the Content/Inline Editor menu. It opens an editable version of your website where you can navigate to the policies page, click on the top section for general policies and edit them. When you are happy, close that window and in admin use Content/Apply Changes to publish it.

Thanks for answering my questions so promptly. How do I indicate that someone joining mid-month will only pay for the remaining weeks in that month for their first payment? I couldn't seem to change the prorate policy.
Also, i would like to have a sibling discount as well as a "repeat benefits" discount for those who already have materials from a previous child. I can only get one of the 2 to apply.
Hi Annette,
Your prorate policy can be shown in more detail by editing the policies page (Content/Inline Editor). YV will only do the basic monthly prorate automatically, so you can publish your mid-month policy there, and manually modify the tuition charge for the family after they enroll.
On the repeat discounts. Of course, YV does not know about this when they enroll online, so you would probably be best to set it up as a custom discount where you provide the name and description, and use the same dissents as you use for siblings. Then when you modify the tuition charge for a family needing it, the discount will be in the drop down list of available discounts and YV will calculate it for you.

Thanks for providing so much helpful info for us! I have set up my schedule for classes beginning at the end of August, but noticed that not all classes are showing up on Kindermusik Class Locator. The missing classes are curricula that I had to create on YV because they were not yet available on the drop-down menu, Kindermusik Wiggle & Grow and Kindermusik Laugh & Learn. Any ideas for something I can correct so these classes are recognized as Kindermusik curricula? Thanks!
Beth, we are working on built in curricula for the 3 new ones, but did not update the interface to KI to support them yet. I have put a bug report in to have your custom curriculum and the new standard ones included in the feed to KI. I do not know if KI need to change their end or not at this point.

After much deliberation over what to do with my fall schedule (semester or subscription model), I've decided to go with subscription model using YV. I registered for a trial account and I'm just waiting to get the information to get started. In the meantime, I had a question, though. I already have my own website and I really don't want to go through the trouble of setting up a new one right now. Will that be a problem? I'm assuming that I can just link to YV from my main site.
