Subscription Monthly Payments on YourVirtuoso


Subscription Model (updated 8/28/12)
The subscription model for enrolling and charging customers has the following characteristics that differentiate it from classic semester based enrollment and billing:
  • Classes run for a full School year (typically Sept. to May)
  • Payment is primarily on a monthly basis (a deposit is also possible)
  • Enrollment can happen at any time (but is concentrated in the months leading up to Fall start of classes)
Your Pricing Decisions
YourVirtuoso can be set up to handle subscription model through a payment plan which defines monthly payments. Here are the business decisions you need to make before actually getting into YourVirtuoso to set it up:
  1. Pick your session dates and prices based on your costs and business needs. For example:
    1. If your tuition for 32 weeks needs to be about $480, and materials about $100, your total price for the year will be $580
  2. Using this as a guide, decide how you want customers to pay.
    1. If you start in September and finish in May, YourVirtuoso will schedule 9 payments. 
    2. If you want to charge a deposit deduct this from the total for the year, and then divide the total by 9. If no deposit just divide by 9 - In our example $64.44
    3. Set your price by picking the monthly price that works for you. Lets say $65, which means the actual total cost of the class will need to be 9*65 = $585
YourVirtuoso Setup
Here are the steps you need to follow:
  1. Create a new pricing plan: (If using the new KM curricula a subscription plan is already set up - Skip this step)
    1. Go to Setup/Pricing Plans and Add a Plan. Call it What you want, maybe “Subscription Pricing”
    2. In our example there is no registration fee or deposit, so just click on “Set Payment Schedule”
    3. Select “Payments divided up equally over Session”. This lets you have payments always at the start of the month by picking “Per MONTH” and “Payments due at START”. Note that YourVirtuoso will decide later how many payments there are, but as long as your class starts in September and continues through May there will be 9
    4. Save the Pricing Plan
  2. Apply the plan to the curricula you want to use it with: (If using the new KM curricula  - Skip this step)
    1. Go to Setup/Curricula and edit each of the curricula involved.
    2. In each curriculum, edit the curriculum details and pick your new pricing plan
    3. Note that the plan can be applied to any curriculum that is following the 9 month, monthly payment model, even if the amounts are different for example for Young Child.
    4. Check the materials for the curriculum and make sure they are priced at $0 (All fees will be collected as simple monthly "tuition" charge)
    5. If you had already set up classes for the session, they will have picked up your old pricing plan, so you would need to select each of these classes and change the selection using the “Plan Details” link.
  3. If you have not done so already, set up your new session with a start date in September and end date in May
  4. Create your classes as usual, with the following differences:
    1. Select ALL the units you will teach for the year (Cmd or Ctrl click to pick the extra units). For the new curricula, there is just one unit, as units/themes and materials are managed on the my.kindermusdik website)
    2. Set the start date in Sept and the end date in May
    3. Set Tuition cost using the new option of "per month". Select per month and enter $65 in our example
  5. Activate your session and classes and try enrolling a student from the class enrollment page to check that the price and payment schedule match what you decided - then cancel.
  6. Finally, make sure you are set up for automatic payments. Under Setup/MyInfo you will see “Preferences” where you can turn on auto payments and “Notifications” where you can choose to send reminder emails and copy yourself if you wish.
Transfers
When a student transfers before classes start, It is exactly the same as it is with semester based pricing. Normally there is nothing more to do than select the student on the class enrollment page and click transfer. The exception is when they are changing curriculum or if there were discounts applied to the original enrollment.
For this reason, YourVirtuoso will show you, just before you commit the transfer, the charges that are being removed, the new ones that are being added, and the payments that are being scheduled. Take note here of any differences so you can make the necessary AR adjustments. 
Mid Year Enrollees (Prorating)
YourVirtuoso will prorate automatically based on the current month. It does not have the information needed to decide if the current month has 1, 2, 3, 4, or 5 classes left, and if the first payment needs to be different. Whenever you enroll someone, or are notified that they have enrolled online, after the class start date, you will want to check their account (AR) and see if the tuition matches your studio's prorate policy. Generally you just modify the tuition to the prorated amount, and choose to take that off the first available payment.

Variations
Deposits: If you are really concerned about buying materials for students who have not actually paid for them yet, as is the case before the classes start, you can easily add a deposit to your plan. In the example we had above, lets say you wanted a $50 deposit. You would take the $50 off your target total price of $580, leaving $530 and divide that by 9 to get the monthly payment of $58.88. To make round numbers you could choose $60 per month plus $50 deposit. You would use that $60 when setting up the class tuition, set the materials package price to $50, and modify your pricing plan to have a deposit of "materials fees". NOTE: This can make prorating a bit more complex, so think it through before you make it more difficult to manage.

Materials: If you need to track materials for sales tax purposes. I suggest you stay with the simple model above (including setting materials price as $0), and then just use the "Materials Required" report to identify what materials were sold during that month/quarter and calculate sales tax from that using whatever materials price you and your accountant think is reasonable (and legal) in your area.

A note to YourVirtuoso users about the new KI locator

The new KI class locator still works with YourVirtuoso, but with a few differences you should be aware of:
1) Your customer stays on the KI website, and browses your own (YV) website in a window that overlays the KI site, but which does not have full browser capabilities. When they are done they will be back on the KI site, not on yours.
2) This window does not show them that they are on a secure connection. They are secure, but the KI site they see in the background is not, which could create some confusion or concern.
3) Your bio and picture are now displayed on the KI site. This is the bio and picture you may, or may not, have entered in your KI profile. This was not shown before, so you may want to go to the Teachers Lounge and check it is there and up to date.
4) On the plus side, the class duration is now shown for YV classes which was not there before.

AMEX Merchant Fees

For the last few years we have been able to offer a competitive merchant fee of 2.65% which included accepting American Express cards. As some of you know, if you have had your own merchant account in the past, AMEX usually charges a lot more than other card types. In fact, most merchant solutions will have a wide range of fees for visa, MC, Visa Debit, World MC etc. etc. and most are a lot more expensive to process that the basic rate that is quoted.
We have so far been able to keep to a single flat rate for all card types to keep it simple and affordable for you.
Unfortunately, AMEX is putting a wrench in the works by raising their fees dramatically in October of this year. We would like to keep a simple flat rate; we would like to continue to accept AMEX; and we would like to keep it affordable, but something has to change or we will be losing money every month!
When it comes to the crunch, it is you, our customers, who will notice the impact of whatever we do, so please give us your feedback. There is a poll top right of the blog with the options we are considering, so let us know your preference.

Unbalanced accounts - Those red AR links

The latest YV release makes it easier to see and fix accounts with scheduled payments that do not match what the customer owes (unbalanced accounts). This can happen when you use the "Make Adjustment" button, or when a customer overpays and then enrolls again.
The family list now has a link direct to the family accounts receivable (AR) page with all their transactions, and if this link is red (AR) it means they are unbalanced.
On their AR page there is another link to the Modify Payments page where you can easily set up the scheduled payments so that they match the AR balance owed.

Adding Those Kindermusik Widgets

Thanks to Nancy Hehemann for documenting her strategy and instructions for adding the KI widgets and videos to her YourVirtuoso website. This does take a little "web savvy", as it involves the web language HTML, but it is doable if you just want to follow the instructions carefully. Here are Nancy's words of wisdom...

First I selected a different look/feel. I was using the original/default page and I think there was not enough room in the box on the home page to add a widget, movie clip, etc. There, I have added a facebook widget "Kindermusik with Nancy - Become a Fan" and also the scrolling widget of music quotes from KI.

On "About Kindermusik" I embedded the "Can't decide whether to Enroll" video. On the "Classes" page I embedded the general "Follow Me to Kindermusik" video and then listed links to specific age group videos.

I will try to put all the steps here:
  1. Copy the widget script from KM Teacher's lounge
  2. In YV, Click on Content, Inline editor. Select the page/place you want to put the widget. Open the edit box by clicking on the highlighted text there
  3. Click on the <> tool at the top of the editor which allows you to see and/or add html scripts.
  4. Paste the script where you want it to be. Click OK and then you should see your revision/insert pop up.
  5. You will then need to close the window and back in YV admin, click Content and Apply Changes.
You do the same process for embedding a video clip.
  1. Go to the clip you want on youtube.
  2. You will see the option of URL or Embed. There is a little symbol next to Embed. Click on that. It will give you an option to pick a border to place around the video and below that it gives you a size to select. I would select the smallest size so it doesn't take up your whole webpage. Once you have selected if you want a border and the size, click on the embed box and it will be highlighted. Right click on it and copy it.
  3. In YV, Inline editor, go to the page you want to put the video. Click on the box to edit. Click on <> so you can see codes. Paste the video embedding where you want. Click OK. You should see what it will look like. Then make sure to apply changes.
Note From Gerry: This is quite complex stuff, so just remember that if you try it, and it messes your page up, you just need to go to "Apply Changes" in YV and discard what you did rather than accept it.
While you are in the inline editor, you are playing in your own private sandbox, and until you accept the changes, nobody else will see them.

Kindermusik Class Locator

In collaboration with KI, we have created the following instructions to have your class schedule, as in YourVirtuoso, show on the Kindermusik class locator. Only Kindermusik classes will be sent from YV to KI, and the current method of identifying these is by analysis of the curriculum name to recognize the standard KM names ("Our Time" for example). NOTE: If you rename KM curricula, they may not be sent. If you have a custom curriculum (eg. "Your Time") it may be confused and sent as a KM class.
  1. Login to Your Virtuoso.
  2. Go To the Setup-> My Info menu.
  3. Click Edit for the Web Services section
  4. Click on Enable for the Kindermusik.com web service. 
  5. Select the option for returning Registration information to KI and click Save
  6. The My Info page will now display each of your locations with the associated Location ID that must be entered in the Kindermusik.com system. Keep this window open, or make a note of the location id(s)
  7. Login to Kindermusik.com and go to the Teacher’s Lounge.
  8. Under “My Program” click on the “Profile” link.
  9. Then click on the “Contact” tab.
  10. Next to “Class Schedules Source” click on drop down box and choose the system you are using (YourVirtuoso).
  11. Click on “Studios” tab.
  12. For each of your studios enter your “YourVirtuoso Location ID”. This ID is the one from the YourVirtuoso My Info page.
  13. If you would like the Enroll Now button displayed for each studio location on the locator you will need to enter your web address in the Enroll Now URL field.
  14. Click “Update” and then when parents use the Kindermusik Class locator your schedule will be pulled from Your Virtuoso and displayed on the Kindermusik locator.
  15. We recommend checking the locator immediately to make sure everything’s correct

Getting on Google Searches

Getting listed on Google is usually just a matter of time (a few months sometimes) but there are things you can do to speed it up and get listed higher. 

First, submit your website URL (address) at http://www.google.com/addurl/?continue=/addurl .

Then make sure you have the "Serving" text in YV (Setup/MyInfo) set to include the names of the areas parents might search for in google. You can even check your status with google at https://www.google.com/webmasters/sitemaps/sitestatus .

Sending Names for the KI Loyalty Survey

If you want to participate in the KI loyalty survey, here are the steps to create a file to send to KI.

  1. Login to YourVirtuoso
  2. Click on “Reporting” in the top right hand corner and choose “Custom Reporting” at the bottom of the drop-down menu.
  3. Click on the “Create a Family Report” link.
  4. On the next screen, click on “Select Families by Enrollment”
  5. From the next pop-up window, choose the first option to select “has a child enrolled in” anything during “Fall 2008” session. You must choose your “Fall 2008” session from the drop-down list.
  6. Click OK on the pop-up window, then click Done on the YourVirtuoso screen. This will take you to the next screen.
  7. Click “Edit Columns” on the next screen which says “Custom Family Report: New Report”
  8. The next screen provides a list of possible report columns. Click on the “x” to delete the extra columns. Be sure to keep: Family Name, Caregiver Name, Caregiver Email Address. When finished deleting the extra columns, click OK at the bottom of the pop-up window.
  9. Click “Generate Report” to see the list of families enrolled in Fall 2008 session.
  10. Click on “CSV” link at the bottom of the screen to create an excel spreadsheet on your desktop.
  11. Once saved, open this file up (excel works best) and review the data for accuracy. If any family has not submitted an email address, then the family should be deleted from this file.
  12. Add column for your educator number and add to each row in the list. (Note that if you have multiple educators, you can pick them one by one in step 5 and repeat the process)
  13. Add a title at the top of the file that includes Educator Name, Semester (ie Fall 2008), Semester Start and End Dates
  14. Save these changes and close the file.
  15. Email this .csv file to Kindermusik International

Birthday Lists, Labels etc

You have always been able to create a Mailing Label report just for students with a certain birth month, but now you have some more flexible options using Custom Reports.
  1. Select the Reports/Custom Reports menu
  2. Create a new family report
  3. Use the "Select Families using Child information" and pick a birthday range you want
  4. Use the same selector again if you want other criteria like age...
  5. Click Done to get back to report page
  6. Click Edit Columns and add or delete the columns you want on your report. Children DoB gives "7/21/08", Children Birthdays shows "July 21st"
  7. Click Generate Report to see the preview
  8. Use one of the report options at the bottom to get a printable version, or CSV to download the information so you can use it in word or excel, as a mail merge for example.
Once you get used to custom reports, there are all sorts of uses. Let us know if you have a good one to share!

How do I Archive My data?

To create an archive of your data, you need to create two custom reports.

Under custom reporting, create a new prospect report and select all prospects, then add all available columns to your report and click "generate". If the report looks correct, use the "CSV" button to export it to a file that you can open in excel or import into other programs.

Then do the same with a new family report (some of the columns are redundant, but you can export them all anyway).

The family data will include their balance information, but if you want specific payment and/or enrollment information, you might want to create a payment report or statements for all your families and use the PDF button which will let you save the reports to refer to later.

YourVirtuoso and Kindermusik Q & A

The Bottom Line
The original agreement between Kindermusik and SimplySignUp expires in July, but YourVirtuoso will continue to be available, supported and enhanced. The team at SimplySignUp (SSU) is happy to be taking over full responsibility for supporting the service which they defined, designed, and manage today.

Who is SSU?
SSU was formed in 2004 by Gerry Cobley and a Raleigh NC based software design company to address the need for a web-based application serving music studios, dance studios, etc.
Gerry's 15 years administering Julia's large (top 1% Maestro) Kindermusik studio provided the detailed knowledge which, along with with his MBA, business experience with Gartner and his partners' business application and web design expertise combined to create the critical mass needed to develop YourVirtuoso.
SSU has no other investors, and developed YV without any outside funding (not even from KI).

Why is the Agreement Expiring?
SSU and KI hoped that YourVirtuoso would eventually benefit virtually all Kindermusik educators. For this reason, KI elected to make it mandatory for new licensees. What we (SSU) have learned is that there are a very large number of educators who have such small enrollment (10 or 20 students) and no burning desire to grow, that even the $14.95 and the couple of hours to set YV up were beyond their needs. KI plans to address this with their new Class locator based system, and while we provided a proposal to have this interwork with YV and use existing YV capabilities, KI have elected to build it on their own.

What is changing in July?
As a subscriber to YV, very little will change about the service itself. The service has always been owned and managed by SimplySignUp (SSU) and in July the only significant change we expect will be that SSU will take over customer support from KI. The end-user license agreement you accepted when you registered for YV was between you and SSU and is not affected (though we may clarify your full ownership of your data, and ask you to affirm that you are a licensed KM educator who can use the KI logos in your website).

What About the Future of YV?
From the SSU perspective, we are a small but viable corporation focussed on providing a fully integrated, fully featured suite of studio administration and internet marketing tools. This remains our vision, and we have no intention to pull the plug on YourVirtuoso.
We have no plans to increase the subscription price for YV, including YV 2.0 at this time.
KI has no desire to deny you access to KI curriculum information, and we will put a process in place to promptly update curriculum information when necessary.
We will, however, be free to add features based on your needs, not constrained by KI's priorities, and we will putting a process in place to capture your priorities.
We cannot speak to the specifics of which YV features will and wont be duplicated by KI on Kindermusik.com, but our expectation is that educators with significant enrollment, non- Kindermusik curricula, reporting and tracking needs, or concerns over KI ownership of their customer data will find YV the best, if not the only, option. Only time will tell, so we recommend you wait and see.


Should I Let Kindermusik Have an Archive of my Data?
Here are a few facts and one opinion for you to consider:
  1. SSU uses a professional, secure hosting company and data is backed up by us every 30 minutes, and transferred to tapes for offsite storage every day.
  2. In YV 2.0 you can create complete reports for customers and prospects, and export those to "CSV" files which can be stored on your computer and read by excel, word etc.
  3. SSU has not been informed of how the data would be used by Kindermusik

... and the opinion... Your customer list is the crown jewel of your business. Be very careful how you share it. My advice is not to share it at all - whenever KI sends an email (like Tune In) to your prospects, selling old DRMY inventory for example, with no mention of kindermusik classes, it devalues the Kindermusik brand from the educational values you have spent years promoting. ...end of opinion...

SSU is committed to supporting you, and protecting your valuable customer data.

Customers Who Don't Need Materials

For your own custom curricula, and (very rarely) for Kindermusik curricula you sometimes have students who don't need materials (enroll very late in session for example). You can certainly just  modify the charges to $0, but the materials package will still be counted on your "Materials Needed" report.
The best way to handle this is to add a new materials package to the units/curricula you use. Add it in curriculum setup before you create the classes. You can call it "Other" or "None Required", but it will be shown on the public website as a materials option, so you may want to be careful how you describe it. I have put something like "Please contact us if you have unique needs for materials".
Once this is in place, when you have a student who does not get any of the standard packages, you can just "modify" the default materials in their AR page and select this package in the drop down selector, making appropriate notes or pricing changes at the same time. This will take them out of the counts used in your materials report (and show them under "Other").

Remember, for Kindermusik Curricula you are bound by your licensing agreement, so one of the standard materials packages is almost always required...

ABC on YourVirtuoso

We are often asked about ABC Music & Me, and how to handle it in YV. There are many ways to approach it, and I would encourage comments on this blog with any of your creative ideas.
First of all, why can it be a problem? Here are a few important differences from the other KI curricula for which YV is currently optimised. They all stem from the fact that ABC is structured in 4 week units:

  1. Signing up continuing students every month can be a burden
  2. There is no set session start and end if you run an ongoing program where students join and drop at will
  3. Long sessions with multiple months show the entire cost, and may cause "sticker shock"
  4. Classes at Daycares are usually restricted to children attending the daycare

We have some plans to change the way sessions and pricing are handled to make this much simpler, but these will not be available until after YourVirtuoso 2.0, so here is one option we came up with to handle a daycare ABC program with rolling monthly enrollment:

  1. Set up a new session for the classes starting when your program starts and ending at some logical point in the distant future such as the end of the school year. DO NOT ACTIVATE this session so that will not appear on your website.
  2. Set up the ABC classes in this session picking all the units that you will teach over this extended period. If you charge $50 per month, split as $15 materials and $35 tuition, set the materials packages to $15 incl tax (if you do it in the curriculum, you wont have to do it for each class you add), and set the tuition to be $35 * the number of units you will teach over this period (e.g if your session was 9 months long, set the tuition to $315). Set up a pricing plan to take $50 deposit and spread the balance over the session in monthly payments. Test enroll someone to check that it sets the monthly fees to $50, and adjust dates to make it work if not. You can activate these classes (not the session).
  3. In your currently active session (eg Fall 07) set up an ABC class for the unit you are about to start with the appropriate start and end dates etc. Price it at $35, materials $15. Activate it and it will appear online for parents to register in. Market to/through the daycare asking parents to sign up online for this class and store their credit cards, and let them know they will stay enrolled until they advise you they want to drop.
  4. When the enrollment period for this months class is over, mark it completed, remove the students from this class (creating a credit) and add them to the ongoing class. Make a payment to apply their $50 credit to the first (deposit) on the ongoing class.
  5. You now have these students all set for the rest of the year. If they drop out, modify their tuition (was $315) to what they actually took, and modify the materials that they will not be getting to $0 (ideally set up a dummy "no materials" package for this curriculum so your materials report counts them correctly)
  6. For new students, add a class(es) in your current session every month for the current unit, and set the class size to be the spaces you have left. At the end of the enrollment period, move them to the ongoing class as before, but adjust tuition and materials to reflect their late start in the session.

As I said, we are working on simplifying this process! In the mean time do you have a better way of handling it anyone?

Online Survey Instructions

After Michael encouraged us all to survey our "Defectors" (did not re-enroll) I thought it would be worth stepping through this process, explaining how to do it using YV.
The Surveymonkey piece is not related to YV, but for completeness, I have documented the whole process:

Family Login Problems

There are a few problems that come up with families that cannot access their accounts. It is worth understanding these, as there are some simple ways to avoid many of them.
First off, YV uses the email address as the unique identifier for a family account. Names are not unique, and email works well, as it provides a secure way to validate an account. 
Here are a couple of possible problems:
  1. Family tries to create an account but gets an error because the email is "in use". This is usually when you have already entered them as an admin. If you gave them a password, they can retrieve it with the forgotten password link (note that it takes a little while, and spam filters sometimes interfere, so if they are on the phone, you may want to go to their account and just give them a new temporary password.) 
  2. If you did not give them a password (but did enter their email), they will be asked to contact you when they try to enroll, and you will need to give them one. The best policy is just to give a random password whenever you put an email in for a family.
  3. Neither you nor the family can enter their email because it is "in use".  First, double check your families list. Maybe the other parent created an account under a different name etc. The definitive way to check is to use the "advanced search" link on the families list page and search for the email. If the email is not being used in your system, the family may have signed up with another educator who uses YourVirtuoso. We are going to remove this restriction so that a family can have multiple accounts with different educators, but for now there are two solutions: 1) Have the family use a different email address, or 2) If you know the other educator, and they no longer serve that family, ask them to archive the family.
A final note. These login issues sometimes result in duplicate families. There is an easy way, and a correct way, to handle this (as always). The easy way is to ensure the old account has $0 balance and archive it. This is fine moving forward, but you lose access to the family class history.
The right way is to recreate the duplicate family enrollment(s) under the old family; remove the duplicate family enrollment(s); make an adjustment to the duplicate family to get it to $0 balance and archive it; make the opposite adjustment to the old family and apply any credit to scheduled payments. This should take care of it. You may want to ask them which email address they prefer to use, and advise them what you have done of course, so they can log in to the old account which will now have all their history intact (except payment details which will by covered by the adjustment you made)

My Bio has too many characters

The bio in YourVirtuoso is displayed in a pop-up window for your customers, and really needs to be fairly brief to look good. There is unlimited space to put an extended bio on the "Our Studio" page which you can edit using Content/Inline Editor and then navigating to the "About Kindermusik" page and the "Our Studio" page.

Why aren’t my classes showing up on the website?

This is common mistake. All you have to do is make sure that your sessions and classes are activated. After you enter in all your class info, it will take you back to the main page, and the link beside your class reads “initiated”. Click on that link to activate your class. The same applies to Sessions.
(TIP: If you want classes that you can enroll students in, but which will not appear on your website, you can put them in a special session and activate the class but not the session)

Where do I go to find prospective customers?

Under “Marketing”, click on the “prospective customers” link and you will be able to view all your prospects.
