Subscription Monthly Payments on YourVirtuoso
- Classes run for a full School year (typically Sept. to May)
- Payment is primarily on a monthly basis (a deposit is also possible)
- Enrollment can happen at any time (but is concentrated in the months leading up to Fall start of classes)
- Pick your session dates and prices based on your costs and business needs. For example:
- If your tuition for 32 weeks needs to be about $480, and materials about $100, your total price for the year will be $580
- Using this as a guide, decide how you want customers to pay.
- If you start in September and finish in May, YourVirtuoso will schedule 9 payments.
- If you want to charge a deposit deduct this from the total for the year, and then divide the total by 9. If no deposit just divide by 9 - In our example $64.44
- Set your price by picking the monthly price that works for you. Lets say $65, which means the actual total cost of the class will need to be 9*65 = $585
- Create a new pricing plan: (If using the new KM curricula a subscription plan is already set up - Skip this step)
- Go to Setup/Pricing Plans and Add a Plan. Call it What you want, maybe “Subscription Pricing”
- In our example there is no registration fee or deposit, so just click on “Set Payment Schedule”
- Select “Payments divided up equally over Session”. This lets you have payments always at the start of the month by picking “Per MONTH” and “Payments due at START”. Note that YourVirtuoso will decide later how many payments there are, but as long as your class starts in September and continues through May there will be 9
- Save the Pricing Plan
- Apply the plan to the curricula you want to use it with: (If using the new KM curricula - Skip this step)
- Go to Setup/Curricula and edit each of the curricula involved.
- In each curriculum, edit the curriculum details and pick your new pricing plan
- Note that the plan can be applied to any curriculum that is following the 9 month, monthly payment model, even if the amounts are different for example for Young Child.
- Check the materials for the curriculum and make sure they are priced at $0 (All fees will be collected as simple monthly "tuition" charge)
- If you had already set up classes for the session, they will have picked up your old pricing plan, so you would need to select each of these classes and change the selection using the “Plan Details” link.
- If you have not done so already, set up your new session with a start date in September and end date in May
- Create your classes as usual, with the following differences:
- Select ALL the units you will teach for the year (Cmd or Ctrl click to pick the extra units). For the new curricula, there is just one unit, as units/themes and materials are managed on the my.kindermusdik website)
- Set the start date in Sept and the end date in May
- Set Tuition cost using the new option of "per month". Select per month and enter $65 in our example
- Activate your session and classes and try enrolling a student from the class enrollment page to check that the price and payment schedule match what you decided - then cancel.
- Finally, make sure you are set up for automatic payments. Under Setup/MyInfo you will see “Preferences” where you can turn on auto payments and “Notifications” where you can choose to send reminder emails and copy yourself if you wish.
Materials: If you need to track materials for sales tax purposes. I suggest you stay with the simple model above (including setting materials price as $0), and then just use the "Materials Required" report to identify what materials were sold during that month/quarter and calculate sales tax from that using whatever materials price you and your accountant think is reasonable (and legal) in your area.

Adding Those Kindermusik Widgets
I will try to put all the steps here:
- Copy the widget script from KM Teacher's lounge
- In YV, Click on Content, Inline editor. Select the page/place you want to put the widget. Open the edit box by clicking on the highlighted text there
- Click on the <> tool at the top of the editor which allows you to see and/or add html scripts.
- Paste the script where you want it to be. Click OK and then you should see your revision/insert pop up.
- You will then need to close the window and back in YV admin, click Content and Apply Changes.
- Go to the clip you want on youtube.
- You will see the option of URL or Embed. There is a little symbol next to Embed. Click on that. It will give you an option to pick a border to place around the video and below that it gives you a size to select. I would select the smallest size so it doesn't take up your whole webpage. Once you have selected if you want a border and the size, click on the embed box and it will be highlighted. Right click on it and copy it.
- In YV, Inline editor, go to the page you want to put the video. Click on the box to edit. Click on <> so you can see codes. Paste the video embedding where you want. Click OK. You should see what it will look like. Then make sure to apply changes.

Kindermusik Class Locator
- Login to Your Virtuoso.
- Go To the Setup-> My Info menu.
- Click Edit for the Web Services section
- Click on Enable for the Kindermusik.com web service.
- Select the option for returning Registration information to KI and click Save
- The My Info page will now display each of your locations with the associated Location ID that must be entered in the Kindermusik.com system. Keep this window open, or make a note of the location id(s)
- Login to Kindermusik.com and go to the Teacher’s Lounge.
- Under “My Program” click on the “Profile” link.
- Then click on the “Contact” tab.
- Next to “Class Schedules Source” click on drop down box and choose the system you are using (YourVirtuoso).
- Click on “Studios” tab.
- For each of your studios enter your “YourVirtuoso Location ID”. This ID is the one from the YourVirtuoso My Info page.
- If you would like the Enroll Now button displayed for each studio location on the locator you will need to enter your web address in the Enroll Now URL field.
- Click “Update” and then when parents use the Kindermusik Class locator your schedule will be pulled from Your Virtuoso and displayed on the Kindermusik locator.
- We recommend checking the locator immediately to make sure everything’s correct

Time to Vote!
Sending Names for the KI Loyalty Survey
- Login to YourVirtuoso
- Click on “Reporting” in the top right hand corner and choose “Custom Reporting” at the bottom of the drop-down menu.
- Click on the “Create a Family Report” link.
- On the next screen, click on “Select Families by Enrollment”
- From the next pop-up window, choose the first option to select “has a child enrolled in” anything during “Fall 2008” session. You must choose your “Fall 2008” session from the drop-down list.
- Click OK on the pop-up window, then click Done on the YourVirtuoso screen. This will take you to the next screen.
- Click “Edit Columns” on the next screen which says “Custom Family Report: New Report”
- The next screen provides a list of possible report columns. Click on the “x” to delete the extra columns. Be sure to keep: Family Name, Caregiver Name, Caregiver Email Address. When finished deleting the extra columns, click OK at the bottom of the pop-up window.
- Click “Generate Report” to see the list of families enrolled in Fall 2008 session.
- Click on “CSV” link at the bottom of the screen to create an excel spreadsheet on your desktop.
- Once saved, open this file up (excel works best) and review the data for accuracy. If any family has not submitted an email address, then the family should be deleted from this file.
- Add column for your educator number and add to each row in the list. (Note that if you have multiple educators, you can pick them one by one in step 5 and repeat the process)
- Add a title at the top of the file that includes Educator Name, Semester (ie Fall 2008), Semester Start and End Dates
- Save these changes and close the file.
- Email this .csv file to Kindermusik International

Birthday Lists, Labels etc

- Create a new family report
- Use the "Select Families using Child information" and pick a birthday range you want
- Use the same selector again if you want other criteria like age...
- Click Done to get back to report page
- Click Edit Columns and add or delete the columns you want on your report. Children DoB gives "7/21/08", Children Birthdays shows "July 21st"
- Click Generate Report to see the preview
- Use one of the report options at the bottom to get a printable version, or CSV to download the information so you can use it in word or excel, as a mail merge for example.

How do I Archive My data?
Under custom reporting, create a new prospect report and select all prospects, then add all available columns to your report and click "generate". If the report looks correct, use the "CSV" button to export it to a file that you can open in excel or import into other programs.
Then do the same with a new family report (some of the columns are redundant, but you can export them all anyway).
The family data will include their balance information, but if you want specific payment and/or enrollment information, you might want to create a payment report or statements for all your families and use the PDF button which will let you save the reports to refer to later.

YourVirtuoso and Kindermusik Q & A
The original agreement between Kindermusik and SimplySignUp expires in July, but YourVirtuoso will continue to be available, supported and enhanced. The team at SimplySignUp (SSU) is happy to be taking over full responsibility for supporting the service which they defined, designed, and manage today.
Who is SSU?
SSU was formed in 2004 by Gerry Cobley and a Raleigh NC based software design company to address the need for a web-based application serving music studios, dance studios, etc.
Gerry's 15 years administering Julia's large (top 1% Maestro) Kindermusik studio provided the detailed knowledge which, along with with his MBA, business experience with Gartner and his partners' business application and web design expertise combined to create the critical mass needed to develop YourVirtuoso.
SSU has no other investors, and developed YV without any outside funding (not even from KI).
Why is the Agreement Expiring?
SSU and KI hoped that YourVirtuoso would eventually benefit virtually all Kindermusik educators. For this reason, KI elected to make it mandatory for new licensees. What we (SSU) have learned is that there are a very large number of educators who have such small enrollment (10 or 20 students) and no burning desire to grow, that even the $14.95 and the couple of hours to set YV up were beyond their needs. KI plans to address this with their new Class locator based system, and while we provided a proposal to have this interwork with YV and use existing YV capabilities, KI have elected to build it on their own.
What is changing in July?
As a subscriber to YV, very little will change about the service itself. The service has always been owned and managed by SimplySignUp (SSU) and in July the only significant change we expect will be that SSU will take over customer support from KI. The end-user license agreement you accepted when you registered for YV was between you and SSU and is not affected (though we may clarify your full ownership of your data, and ask you to affirm that you are a licensed KM educator who can use the KI logos in your website).
What About the Future of YV?
From the SSU perspective, we are a small but viable corporation focussed on providing a fully integrated, fully featured suite of studio administration and internet marketing tools. This remains our vision, and we have no intention to pull the plug on YourVirtuoso.
We have no plans to increase the subscription price for YV, including YV 2.0 at this time.
KI has no desire to deny you access to KI curriculum information, and we will put a process in place to promptly update curriculum information when necessary.
We cannot speak to the specifics of which YV features will and wont be duplicated by KI on Kindermusik.com, but our expectation is that educators with significant enrollment, non- Kindermusik curricula, reporting and tracking needs, or concerns over KI ownership of their customer data will find YV the best, if not the only, option. Only time will tell, so we recommend you wait and see.
Should I Let Kindermusik Have an Archive of my Data?
Here are a few facts and one opinion for you to consider:
- SSU uses a professional, secure hosting company and data is backed up by us every 30 minutes, and transferred to tapes for offsite storage every day.
- In YV 2.0 you can create complete reports for customers and prospects, and export those to "CSV" files which can be stored on your computer and read by excel, word etc.
- SSU has not been informed of how the data would be used by Kindermusik
... and the opinion... Your customer list is the crown jewel of your business. Be very careful how you share it. My advice is not to share it at all - whenever KI sends an email (like Tune In) to your prospects, selling old DRMY inventory for example, with no mention of kindermusik classes, it devalues the Kindermusik brand from the educational values you have spent years promoting. ...end of opinion...

ABC on YourVirtuoso
First of all, why can it be a problem? Here are a few important differences from the other KI curricula for which YV is currently optimised. They all stem from the fact that ABC is structured in 4 week units:
- Signing up continuing students every month can be a burden
- There is no set session start and end if you run an ongoing program where students join and drop at will
- Long sessions with multiple months show the entire cost, and may cause "sticker shock"
- Classes at Daycares are usually restricted to children attending the daycare
We have some plans to change the way sessions and pricing are handled to make this much simpler, but these will not be available until after YourVirtuoso 2.0, so here is one option we came up with to handle a daycare ABC program with rolling monthly enrollment:
- Set up a new session for the classes starting when your program starts and ending at some logical point in the distant future such as the end of the school year. DO NOT ACTIVATE this session so that will not appear on your website.
- Set up the ABC classes in this session picking all the units that you will teach over this extended period. If you charge $50 per month, split as $15 materials and $35 tuition, set the materials packages to $15 incl tax (if you do it in the curriculum, you wont have to do it for each class you add), and set the tuition to be $35 * the number of units you will teach over this period (e.g if your session was 9 months long, set the tuition to $315). Set up a pricing plan to take $50 deposit and spread the balance over the session in monthly payments. Test enroll someone to check that it sets the monthly fees to $50, and adjust dates to make it work if not. You can activate these classes (not the session).
- In your currently active session (eg Fall 07) set up an ABC class for the unit you are about to start with the appropriate start and end dates etc. Price it at $35, materials $15. Activate it and it will appear online for parents to register in. Market to/through the daycare asking parents to sign up online for this class and store their credit cards, and let them know they will stay enrolled until they advise you they want to drop.
- When the enrollment period for this months class is over, mark it completed, remove the students from this class (creating a credit) and add them to the ongoing class. Make a payment to apply their $50 credit to the first (deposit) on the ongoing class.
- You now have these students all set for the rest of the year. If they drop out, modify their tuition (was $315) to what they actually took, and modify the materials that they will not be getting to $0 (ideally set up a dummy "no materials" package for this curriculum so your materials report counts them correctly)
- For new students, add a class(es) in your current session every month for the current unit, and set the class size to be the spaces you have left. At the end of the enrollment period, move them to the ongoing class as before, but adjust tuition and materials to reflect their late start in the session.
As I said, we are working on simplifying this process! In the mean time do you have a better way of handling it anyone?

Family Login Problems
- Family tries to create an account but gets an error because the email is "in use". This is usually when you have already entered them as an admin. If you gave them a password, they can retrieve it with the forgotten password link (note that it takes a little while, and spam filters sometimes interfere, so if they are on the phone, you may want to go to their account and just give them a new temporary password.)
- If you did not give them a password (but did enter their email), they will be asked to contact you when they try to enroll, and you will need to give them one. The best policy is just to give a random password whenever you put an email in for a family.
- Neither you nor the family can enter their email because it is "in use". First, double check your families list. Maybe the other parent created an account under a different name etc. The definitive way to check is to use the "advanced search" link on the families list page and search for the email. If the email is not being used in your system, the family may have signed up with another educator who uses YourVirtuoso. We are going to remove this restriction so that a family can have multiple accounts with different educators, but for now there are two solutions: 1) Have the family use a different email address, or 2) If you know the other educator, and they no longer serve that family, ask them to archive the family.
